We’re looking for a high-energy Executive Assistant to join our team and be the ultimate right hand to senior management at our company headquarters in Nashville, TN! As the Executive Assistant, you'll be the linchpin of our leadership team, ensuring seamless communication and a stellar experience for both internal and external stakeholders. Your role will be pivotal in supporting senior management with a variety of administrative tasks, from scheduling and correspondence to overseeing visitors and routing calls. This hybrid role has a 3 day in office weekly requirement.
ResponsibilitiesIn this role, you will make an impact in the following ways:

Schedule: Anticipate the needs of senior management, managing their schedules with precision and efficiency. Coordinate travel arrangements, including expense reports and visa/passport requirements, ensuring everything runs like clockwork.

Communication Catalyst: Facilitate smooth and effective communication between senior management and both internal teams and external parties such as media, customers, vendors, and the public. Act as the go-to person for inquiries, routing calls, and answering questions with professionalism.

Information Guru: Gather, compile, verify, and analyze information to prepare high-quality documents including memos, letters, reports, speeches, presentations, and news releases. Ensure that all communication is clear, concise, and impactful.

Confidentiality: Maintain the highest standards of security and confidentiality for management’s records and files. Handle sensitive information with discretion and care.

Budget: Monitor, review, and approve standard expenditures to ensure activities align with established budgets. Report on financial activities regularly as assigned.

Meeting Management: Prepare documents and presentation materials, draft letters and official releases, and arrange and attend meetings. Take and distribute minutes to ensure accurate record-keeping.

Flexibility: Complete a variety of tasks for senior management upon request, demonstrating your ability to adapt and tackle new challenges.
QualificationsEducation
- High school diploma or certificate of completion of secondary education or equivalent experience to the extent such experience meets applicable regulations.
- This position may require licensing for compliance with export controls or sanctions regulations.
- College, university, or equivalent degree, a plus.
Experience
- 3-5 years of experience in a high-level administrative role.
- Ability to manage multiple priorities and tasks with discretion and independent judgment.
- Proficiency in office software and communication tools.
- Strong organizational skills and a keen attention to detail.
- Experience using Emburse/Concur, highly preferred.
- Ability to navigate complex scenarios with a calm demeanor and effectively solve complex problems.
