Description

As the Executive Assistant for the Chief Commercial & Supply Chain Director at Ford Energy, you will provide high-level, seamless administrative support to the Director and their leadership team. You are the operational backbone of the office, orchestrating complex global logistics, managing high-priority calendars, and ensuring the leadership team is prepared and positioned for success in a fast-paced, global environment.



Responsibilities

Strategic Calendar & Schedule Management

  • Optimize Productivity: Manage a high-volume global calendar, prioritizing engagements based on strategic business impact.
  • Conflict Resolution: Proactively resolve scheduling conflicts across multiple time zones, ensuring the Director is fully briefed and prepared for all meetings.
  • Business Rhythm: Lead the coordination of leadership staff meetings, Monthly Operating Reviews (MORs), and Quarterly Business Reviews (QBRs).

Global Logistics & Travel Execution

  • End-to-End Itineraries: Coordinate complex international and domestic travel, including flights, accommodations, ground transport, and visa requirements.
  • Real-Time Support: Provide agile, "on-the-road" support to manage last-minute changes to itineraries or meeting locations.
  • Site Visit Coordination: Organize logistics for visits to manufacturing plants, supplier facilities, and energy partner hubs.

Operational & Financial Excellence

  • Expense Management: Execute timely and accurate expense reports via Concur, ensuring strict adherence to Ford’s global travel and craft policies.
  • Documentation: Prepare, format, and distribute high-quality agendas, briefing packets, and internal reports.
  • Office Operations: Oversee procurement, manage incoming correspondence, and maintain organized digital filing systems.


Qualifications

Experience & Skills

  • Executive Support: Proven track record of supporting senior executives in a global, fast-paced corporate environment.
  • Logistics Mastery: Expertise in managing multi-leg international travel and complex administrative requirements (visas, local transport, etc.).
  • Technical Proficiency: Expert-level skills in Microsoft 365 (Outlook, Teams, PowerPoint, Excel) and experience with Concur and SharePoint.

This position is a salary grade 5 and ranges from $63,480-106,680.      
Final determination of salary grade will be based on candidate's skills and experience, and base salary will be set within the applicable range according to job scope, responsibility and competitive market value.

This position is hybrid. Candidates who are in commuting distance to a Ford hub location may be required to be onsite four or more days per week.

As Ford establishes a wholly owned subsidiary focused on Battery Energy Storage Systems, this role will initially be employed by Ford and is expected to transition to the subsidiary within one year.
