Event Logistics Coordinator

The Events Logistics Coordinator ensures events run smoothly by managing all behind-the-scenes planning, coordination, and execution. This role focuses on the operational details that turn an event from a calendar booking into a well-organized, professional experience. The coordinator works closely with internal teams and external partners to ensure spaces, resources, and services are aligned before, during, and after each event.

Note: This is a part-time position (28) hours per week.

What you’ll do in this position:

Event Planning & Logistics

  • Plan and oversee logistics from pre-event preparation through post-event follow-up
  • Coordinate space scheduling, room setups, layouts, equipment, and timelines
  • Communicate setup/breakdown needs to facilities, custodial, A/V, catering, and security teams
  • Ensure compliance with venue policies, safety standards, and capacity limits

Coordination & Communication

  • Serve as primary logistics contact for internal teams and external partners
  • Translate event requirements into clear instructions for support teams
  • Confirm event details (headcounts, layouts, special requests) and troubleshooting changes discreetly

Administrative & Systems Support

  • Maintain event documentation and systems, including schedules, contracts, billing, and resource coordination

Event-Day Operations

  • Oversee on-site logistics, vendor performance, timelines, and post-event breakdown/reset

What qualifies you for this role:

Required

  • A firm commitment to the mission of BYU.
  • Two years of event management experience in a professional setting
  • Ability to work 1PM-5PM and the last Saturday of the month on occasion.
  • Highly organized and detail-oriented, with the ability to manage multiple events and competing priorities in fast-paced environments.
  • Clear and professional communicator who thrives in behind-the-scenes, operational roles with a calm, solutions-focused approach.

Preferred

  • Three years of event management experience working with VIP events
  • Bachelor's degree in related field, and experience in events management

Pay Grade: 49

Typical Starting Pay: $22.75 - $29.50

The actual compensation offered will take into consideration internal equity and may vary based on the candidate’s job-related experience, knowledge, skills, and other relevant factors. Candidates with very significant work-related experience may receive an offer higher than the posted typical range.
