The EHS&S Coordinator supports Quantix’s Environmental, Health, Safety & Security (EHS&S) and Department of Transportation (DOT) compliance programs by providing administrative, documentation, and coordination support. This role is responsible for maintaining compliance records, tracking audits and inspections, supporting regulatory reporting, and assisting with audit and enforcement readiness across Quantix operations.
Summary of essential job functions
EHS&S Administrative Support
· Provide administrative support to Quantix EHS&S leadership.
· Assist in developing and maintaining EHS&S policies, forms, permits, and plans.
· Support with completing external audit questionnaires and related documentation.
· Submission of environmental reporting to regulatory agencies and data is completed.
· Administrator of 3rd Party Contractor and Sustainability platforms (Avetta, ISNET, EcoVadis, OCS, Responsible Care).
· Administrator of First Verify (3rd Party Contractor Platform)
· Administrator of DOT driver safety platform Samba Safety/ Vigillo ensuring MVR compliance, DATA Q Submissions, documentation of DOT Roadside Inspections.
· Support the processing of departmental invoices, payments and documentation to regulatory agencies.
· Administrator for Driver Safety Camera Systems (Lytx and Samsara) documentation and camera issuance and documentation.
· Assist with drafting and publishing of EHS&S Department communications.
· Track and monitor Hours of Service (HOS) compliance documentation and escalate compliance concerns as needed.
· Maintain OSHA 300, 300A, and 301 logs and assist with annual posting requirements.
· Track corrective actions resulting from audits, inspections, and incident investigations to ensure timely closure.
· Assist with preparation and documentation for DOT audits, OSHA inspections, insurance audits, and Responsible Care verification audits.
· Track regulatory deadlines and permit renewals to ensure proactive compliance management.
· Perform data entry and reporting.
· Coordinate communication across departments.
· Assist with EHS&S presentations, preparation, and managing supporting documentation.
· Support special projects as assigned.
· NEW: Maintain centralized digital compliance filing systems to ensure audit-ready documentation.
· Support near-miss reporting tracking and safety trend analysis.
· Assist with safety committee meeting coordination, agenda preparation, and meeting minutes documentation.
· Serve as a liaison between operations, fleet management, warehouse leadership, and EHS&S regarding documentation and compliance needs.
Required skills and qualifications
· Associate degree in Safety, Transportation, Business Administration, or related field preferred; equivalent experience considered.
· Transportation or logistics experience. (preferred)
· 2+ years administrative experience in compliance or safety.
· Working knowledge of OSHA, EPA, DOT/FMCSA regulations.
· Experience using safety platforms (Evotix, KPA, Velocity Lytx, Geotab, ELD systems, and other safety management tools).
· Experience working with 3rd party contractor platforms (ISNET, Avetta, OCS Responsible Care)
· Strong organizational skills with attention to detail and accuracy.
· Effective communication skills with the ability to work collaboratively with others.
· Ability to prioritize and manage multiple tasks in a fast-paced environment.
· Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
· Ability to handle confidential information with professionalism and sound judgment.
