Summary
Supports the Chief of Staff and a range of initiatives in the Executive Office. Acts as a strategic partner and key operator in the Office of the CEO, managing daily administrative functions, driving organizational initiatives, and bridging cross-functional communication. The position further assists the Chief of Staff/Chief Governance Officer in optimizing operational workflows and driving key strategic projects. Provides oversight to identified executive assistants, including, but not limited, making staffing decisions in collaboration with key stakeholders.

Job Duties

  • Provides operational oversight for the Office of the CEO as directed by the Chief of Staff/Chief Governance Officer. Operational oversight may include, but may not be limited to, managing daily operations, optimizing workflows for efficiency, and overseeing the CEO’s calendar in collaboration with the Executive Assistant to the CEO to ensure appropriate attention is given to key strategic priorities and key constituencies.
  • Ensure that scheduling for the Office of the CEO is aligned with the mission and vision of Jefferson and support the CEO with outside engagements.
  • Conduct background research on briefing materials as needed and coordinate with marketing and communications and other Enterprise Shared Services leaders/functions to ensure the CEO’s briefing materials are accurate and prepared on a timely basis.
  • Review and perform quality checks on matters related to the Office of the CEO, including, but not limited to, providing recommendations on content in CEO communications to ensure the appropriateness for a range of constituents.
  • Facilitate communication and work closely with enterprise, health plan, health system and university senior management in order to ensure president’s expectations are met and deadlines are achieved.
  • Direct and lead identified administrative support to ensure accuracy, coordination, and prioritization of calendars, events, communications and meetings. Serves as direct supervisor for identified executive assistants on employment related matters in collaboration with key stakeholders.
  • Serve as a project lead at the direction of the Chief of Staff on special projects and other key work items that are central to the priorities of the CEO and support achievement of the organization’s strategic plan.


Minimum Qualifications

  • Bachelor’s Degree in healthcare administration or related field
  • 7 years progressive experience in healthcare administration, operations, or management.
  • Strong project management, decision-making, and team empowerment abilities.
  • Exceptional written and verbal skills to prepare reports and present to stakeholders.
  • Proficiency in healthcare IT systems and data analysis.


Physical Demands
Lift and carry 25 lbs. frequent sitting/standing, frequent keyboard use, *patient care providers may be required to perform activities specific to their role including kneeling, bending, squatting and performing CPR.
