We are currently hiring for the position of:
COORDINATOR, GROUND TRANSPORTATION (Events)
Reporting to the Manager, Ground Transportation, the Coordinator, Ground Transportation (Events) will facilitate the successful airport transfers (pick ups and drop offs) of Festival guests through the planning and execution of ground transportation itineraries. This position will indirectly supervise Volunteers, Airport Greeter Supervisors, and Festival Drivers.
RESPONSIBILITIES:
Shall include but not be limited to:
Planning and Coordination
Utilize a relational database (Artifax) to record and obtain information about guest itineraries and requirements for ground transportation
Ensure that all guest ground transportation information is accurately captured in the relational database
Liaise with TIFF departments and industry stakeholders to obtain and confirm guest requirements for ground transportation
Schedule transportation with airport limo/taxi service
Maintain and distribute daily airport transfers schedules to airport team
Support Manager, Ground Transportation with projects and deliverables
In Office Production and Execution
Answering and managing calls to the Ground Transportation Hotline; assisting in problem solving and conveying time sensitive information
Communicate airport transfer details to Airport Greeter Supervisors, Festival Drivers, and Volunteers, and dispatching Festival Drivers
Coordinate VIP and non-standard ground transportation
Track and accommodate last minute or unscheduled airport transfers of guests
Execute the highest service standards, policies, and procedures for TIFF
Post-Festival
Contribute to daily Festival reports and provide a detailed post-mortem report
Other duties as assigned
NOTE – this position may involve extended hours during the operational period of the Ground Transportation team prior to and during the festival.
JOB GRADE & SALARY:
Job Grade 2
$24 /Hour
TARGET CONTRACT DATES:
Monday, August 17 - Tuesday, September 22, 2026
WORK LOCATION:
Office Location: 350 King Street West, Toronto, ON M5V 3X5
Weekly in-office requirements:
Minimum 2 days (November to May)
Minimum 3 days (June to October)
Pre-Festival Office Requirements: Full Time, including the Labour Day long weekend (Saturday, September 5th 2026 - Monday, September 7, 2026)
Festival Office Requirements: Full Time, including both weekends during the Festival
MINIMUM REQUIREMENTS:
Education & Experience
Demonstrated experience in large, multi-day events (ex. festivals, tournaments, expos, Games, etc.)
Exceptional and demonstrated background in hospitality or client services
Previous experience in ground transportation and/or guest logistics is an asset
University degree, college diploma or equivalent work experience
Holds a G class license, preferred
Skills
Proficiency with Microsoft Office, Google suite, and relational databases (experience with Artifax considered an asset)
Excellent organizational skills with exceptional attention to detail and numerical aptitude
Strong organizational skills and the ability to identify and manage competing priorities
Understanding of, comfortable with, and commitment to superior client servicing in person, online, and over the phone
Ability to think critically and anticipate issues and proactively propose and execute solutions to address them
Ability to work both independently and in a team environment
Fluency in multiple languages considered an asset
Knowledge of traffic routes, local roads, hotels, international airports and airlines is an asset
Effort
Mental effort:
Ability to learn quickly, work effectively and accurately, and respond well in fast-paced and high pressure environments
Comfortable and flexible with working beyond set shift hours in order to meet operational demands during the operational period of the Ground Transportation team including early mornings, evenings, and weekend.
Physical effort:
Sitting at a desk and working on a computer for several hours at a time
Working Conditions & Physical Requirements:
Hours and setting:
Working in an office environment and on a computer for several hours prior to and during Festival; a few opportunities to visit the onsite environment (airports) may occur during Festival
Long hours leading up to and during festival
Strong weekend availability
Strong flexibility for evening
Physical Hazards:
Operating a motor vehicle (Possibility of driving a sedan, SUV, van, or luxury SUV)
Environmental hazards (during Festival):
Multiple competing priorities and demands
Dealing with difficult partners, festival attendees and other stakeholders
