Job Summary:

The Operations Assistant provides day-to-day operational and administrative support to the Commissioning Operations Directors, enabling efficient, organized, and consistent operations across Impact Cx. This role coordinates recruiting support, onboarding activities, logistics, operational processes, and communication flow.

The Operations Assistant maintains high organizational standards, tracks follow-through, manages priorities, and collaborates closely with the Project Operations & Controls and Commissioning leadership teams. While this role does not independently commit scope, schedule, budget, or personnel decisions, it plays a critical role in coordinating inputs, surfacing issues, and ensuring operational readiness.

Key Responsibilities

Operational & Administrative Support

  • Execute core operational tasks including onboarding coordination, checklists, documentation, and follow-ups.
  • Support recruiting administration, candidate tracking, interview scheduling (non‑executive), and candidate logistics.
  • Maintain and update organizational documentation, including org charts and operational records.
  • Perform inbox triage for Operations Directors, identifying priorities and ensuring timely follow-up.
  • Manage meeting scheduling, calendar coordination, and calendar protection.
  • Support preparation of materials, communication summaries, and decision‑support documentation.

Logistics & Inventory Coordination

  • Coordinate PPE and merchandise ordering, distribution, and inventory tracking.
  • Manage shipping coordination and basic inventory controls.
  • Support internal workflow processes and day-to-day team logistics.

Cross‑Functional Collaboration

  • Coordinate (but not own) cross-functional activities with HR, IT, and Elevate related to onboarding and IT provisioning.
  • Collaborate with the Executive Assistant to maintain clear role boundaries and avoid duplication.
  • Serve as an operational liaison, helping advance cross-functional tasks through completion.

Ownership of Assigned Processes

  • Own assigned operational processes end‑to‑end to ensure consistent, timely, and accurate execution.
  • Maintain visibility into active priorities and assist with recurring operational summaries.
  • Build effective working relationships with the Project Operations & Controls team.

What Success Looks Like

  • Tasks are completed on time with strong accuracy and minimal rework.
  • Onboarding, recruiting support, and logistics run smoothly and predictably.
  • Operations Directors experience reduced administrative friction.
  • Calendars, inboxes, and workflows remain organized and well‑maintained.
  • Cross‑functional tasks move forward effectively without bottlenecks or confusion.
  • Documentation and records are reliable, updated, and easy to reference.
  • Stakeholders describe the Operations Assistant as proactive, responsive, and dependable.

Qualifications & Skills

  • 3–5 years of administrative, operations, or coordination experience in a fast‑paced environment.
  • Strong organizational skills with excellent accuracy and attention to detail.
  • Ability to manage multiple priorities and operate effectively with limited supervision.
  • Proficiency in Microsoft 365 (Outlook, Teams, SharePoint, Excel, Word).
  • Clear and professional written and verbal communication skills.
  • Demonstrated ability to build collaborative working relationships across teams.
  • Self-starter comfortable navigating ambiguity and taking ownership.
  • Experience supporting recruiting, onboarding, or operations administration preferred.

Work Environment

  • Remote role within the United States
  • Occasional coordination with distributed teams across time zones

 

Compensation & Benefits:

The expected base salary range for this role is $50,000 - $65,000 USD per year. Actual compensation will be determined based on a number of factors including skills, experience, qualifications, and location.
