Position Summary


The Commercial Sales Operations Specialist serves as the operational backbone of Mosaic's Commercial Sales Team. This role supports the sales process by managing quotes, orders, customer requests, project documentation, Epicor Prophet 21 (P21) transactions, Excel reporting, and communication between customers, vendors, and internal departments.


The ideal candidate is highly organized, detail-oriented, systems-oriented, and enjoys keeping multiple commercial projects moving efficiently from quote through completion. Success in this role comes from staying organized, communicating effectively, solving problems proactively, and taking ownership of every detail.


What You'll Do

  • Support the Mosaic Commercial Sales Team throughout the sales process.
  • Prepare customer quotes, pricing information, and product documentation.
  • Manage and maintain customer quotes, orders, and project information using Epicor Prophet 21 (P21).
  • Monitor open quotes, orders, and project deadlines to ensure timely follow-up.
  • Assist customers by phone and email with product information, pricing, availability, and order status.
  • Coordinate communication between the Mosaic Sales Team, customers, vendors, and internal departments.
  • Research product specifications, lead times, pricing, and installation requirements.
  • Assist with project documentation, bid requests, submittals, and related paperwork.
  • Create, maintain, and analyze Excel spreadsheets and reports to support the Commercial Sales Team.
  • Maintain accurate customer records and sales activity within company systems.
  • Proactively resolve issues, communicate updates, and help keep commercial projects moving forward.
  • Identify opportunities to improve processes and support the continued success of the Commercial Sales Team.
Requirements

 What We're Looking For

  • 2–5 years of experience in sales operations, sales support, inside sales, project coordination, customer service, or office administration.
  • Advanced proficiency in Microsoft Excel, including formulas, sorting/filtering, and creating organized spreadsheets and reports. Experience with PivotTables and lookup functions is a plus.
  • Experience working with an ERP system (Epicor Prophet 21 preferred) or similar ERP software.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to manage multiple priorities in a fast-paced environment while maintaining a high level of accuracy.
  • Excellent written and verbal communication skills.
  • Strong problem-solving and critical-thinking skills.
  • Self-motivated with the ability to work independently and as part of a team.
  • Proficiency with Microsoft Office, Outlook, and other business software applications.
  • Experience in commercial construction, building materials, flooring, tile, or distribution is preferred, but not required.
