The Red Oak Centre is a multidisciplinary practice supporting children, adolescents, young adults, and families through integrated assessment and care. Our work is collaborative, thoughtful, and values-driven. We are seeking a clinical operations manager to support the consistent, high-quality delivery of our clinical programs.

We’re looking for a warm, organized, driven and proactive Clinical Operations Manager to run our daily operations and to help ensure every family’s journey is as smooth as possible.

This role is well-suited to someone who is highly organized, systems-oriented, calm under pressure, and grounded in strong professional judgment. The clinical operations manager plays a central role in ensuring that established systems are implemented consistently and that clinical operations run smoothly day to day.

About the role

This is a managerial role responsible for owning clinical operations systems, monitoring outcomes, identifying gaps, and ensuring consistent follow-through through established channels.

The clinical operations manager is responsible for implementing and maintaining existing clinical operations systems across practitioner workflows, mentorship systems, onboarding processes, and revenue-related administrative functions. The role works closely with leadership to ensure systems are applied consistently, issues are identified early, and corrective actions are carried out effectively.

This position does not have direct reports at this time. All systems overseen within this role are expected to be clearly documented, consistently applied, and scalable as the clinic grows.

This is an onsite, in-person position.

Key responsibilities

Clinical operations and system stewardship

• Implement and maintain established clinical operations and mentorship systems, ensuring consistent application and adherence to documentation standards
• Ensure practitioners are aligned with approved shift expectations and operational standards
• Identify workflow issues, operational risks, and areas of misalignment, and propose solutions within existing frameworks

Monitoring, audits, and operational insight

• Monitor operational alignment through regular audits of clinician schedules, personal waitlists, and workflow adherence
• Track and prepare operational data using established KPIs and reporting processes
• Summarize trends, risks, and flags for leadership review, escalating issues as appropriate

Practitioner lifecycle and program coordination

• Coordinate clinical onboarding and offboarding in alignment with established procedures
• Support professional development sessions, town halls, and group implementation logistics
• Maintain oversight of volunteer onboarding, documentation, and tracking systems

Operational support and continuity

• Oversee supply and assessment ordering and inventory oversight
• Provide backup support for front desk and accounts receivable functions as needed to ensure operational continuity

Experience and education

This role requires demonstrated experience in healthcare or education operations, supported by relevant education or formal training.

Strong candidates will bring experience in:

• Clinic or program coordination
• Working closely with clinicians and understanding clinical workflows
• Owning and maintaining operational systems
• Using operational data to support decision-making

Relevant education or training may include:

• Health administration or health services management
• Business administration with healthcare exposure
• Operations or project management training or certification
• Quality improvement or team training

Experience in a multidisciplinary, mental health, or pediatric environment is a strong asset.

Compensation and role details

• Full-time: Monday-Friday, 9am-5pm
•Starting range: $60,000-$75,000/year salaried position with benefits
• Compensation offered within this range will be commensurate with experience
• Performance-based bonus tied to practitioner efficiency metrics
• Paid biweekly through Collage
• In-person role based in Midtown Toronto
