Position Summary

The Business Operations Manager is responsible for overseeing internal operational systems, dispatch and scheduling coordination, project management performance, warehouse oversight, financial workflow alignment, and vendor management.

 

This role manages 4–5 direct reports and ensures the internal engine of the business operates efficiently, profitably, and in alignment with strategic objectives.

Key Responsibilities

  • Dispatch & Project Scheduling Oversight
  • Oversee dispatch coordination and project scheduling
  • Ensure scheduling aligns with labor capacity and job profitability
  • Improve workflow communication between PMs and field leadership
  • Reduce downtime, bottlenecks, and inefficiencies

 

Project Management Accountability

  • Set expectations and KPIs for project managers
  • Monitor job costing performance and gross margin tracking
  • Ensure accurate documentation and billing processes
  • Improve forecasting and backlog visibility

 

Warehouse & Service Operations

  • Oversee warehouse operations and inventory control
  • Improve materials tracking and inventory turns
  • Support service coordination performance and workflow

 

Financial & Operational Reporting

  • Partner with bookkeeper to ensure accurate financial data
  • Monitor operational KPIs
  • Provide CEO with visibility into performance metrics
  • Maintain data governance and reporting accuracy

 

Vendor & Contract Management

  • Negotiate vendor contracts and licensing
  • Optimize cost structures and renewals
  • Maintain supplier performance standards

 

Process Improvement

  • Develop and refine operational policies and procedures
  • Implement continuous improvement initiatives
  • Reduce administrative waste and increase scalability

 

Qualifications

  • 7–10+ years in operational leadership
  • Experience managing multi-disciplinary teams (PMs, admin, warehouse)
  • Strong financial literacy and job costing knowledge
  • Vendor negotiation experience
  • Strong organizational and analytical skills
