Caprock Academy is seeking an Athletics and Activities Operations Assistant.  Caprock Academy is a public, tuition-free school chartered by the Colorado Charter School Institute and utilizes the timeless principles of classically oriented education.  As a person integral to Caprock Academy’s team, the Athletics and Activities Operations Assistant will maintain the integrity of, advocate for, and facilitate the implementation of Caprock Academy’s Vision, Mission, and Core Values of character, accountability and academics. 


Caprock Academy follows the Core Knowledge© curriculum in grades K–8. This curriculum encompasses language arts, mathematics, science, history, geography, fine arts, and physical education. The curriculum is characterized by content-rich instruction, cumulative knowledge, content-specific lessons, and coherent sequencing.  The foundation of our academics are rooted in classical education philosophy and pedagogy, following the grammar, logic and rhetoric trivium. The school’s mission is to help all students achieve their highest academic and character potential using proven, accelerated academic programs while providing a safe environment. The Athletics and Activities Operations Assistant shall report to and is accountable to the Athletics & Activities Director.

The Caprock Academy Board of Directors (CABD) maintains a job description for each position at Caprock Academy.  These descriptions are subject to change by the CABD as Caprock Academy evolves.  Such changes may include, but are not limited to, the reallocation of responsibilities among personnel and new positions being created, as warranted.


FLSA CLASSIFICATION: Salary Non-Exempt

EMPLOYMENT STATUS: Regular, full-time 

WORK HOURS: 40 hours per week/Variable work week

PAY RANGE:  Salary to start at $36,000 depending on experience

REPORTS TO:  Director of Athletics and Activities

Essential Duties:

Duties and Responsibilities

Event Coordination

  1. Assist in securing workers for all events as needed.
  2. Prepare CHSAA, high school, and middle school eligibility and submit forms for athletic waivers, transfer processing, and previous athletic participation forms.
  3. Assist in making arrangements for all away competitions.
    1. Send Rosters to Away Schools.
    2. Travel Agenda for Coaches, AOD & Athletic Dept.
    3. Make Travel arrangements for all overnight Athletic & Activity competition events.
    4. Request STA Buses when needed for not only Athletics & Activities, schoolwide for field trips, etc.
    5. Maintain travel destination and mileage spreadsheet.
  4. Coordinate all home events
    1. Locker Room Signs for home & visiting teams.
    2. Program Rosters for Home Games.
    3. Gym Set Up.
  5. Coordinate with the Finance Manager:
    1. Maintain the Athletics and Activities Department budget as well as each program budget.
    2. To pay all entry fees for all events.
    3. For all pay for game officials/event staff.
  6. Assist with season and year preparations, including staff and team apparel ordering, team photo scheduling, and seasonal warmup and uniform ordering.
  7. Assist with all Athletic Banquets by managing programs, script, awards & certificates which include participation, team awards, lettering eligibility, league and state awards.
  8. Assist in maintaining all State Banners.
  9. Maintain GoFan online ticketing for all Athletics & Activities.
  10. Schedule and assist with yearly on campus Sports Physicals.
  11. Direct and supervise instructional and conditioning camps throughout the year.
  12. Concessions organization
    1. Activity Fundraising Coordinator
    2. Booster Club Assistant/Member

Records and Reports

  1. Maintain Eligibility Reporting each week.
  2. Maintain school Eligibility and Clearance each season.
  3. Prepare and maintain multiple financial records and budgets for all athletic programs.
  4. Assist with tracking of funds and request payments through athletic activity accounts, match with rosters, and coordinate with the Front Office to ensure accuracy.
  5. Receive all items for the athletic department.
  6. Assist with uniform handouts, collections, and billing.
  7. Coordinate with the Registrar to ensure SIS roster accuracy.
  8. Follow CHSAA guidelines and school policies regarding student-athlete eligibility and conduct.

Public Outreach and Communications

  1. Handle questions from parents, general public, teachers, counselors, and administrators concerning all Athletics & Activities.
  2. Help coordinate with the maintenance supervisor on field and facility repairs.
  3. Assist with information maintenance on the Master Calendar, Communique, Team App, School, NFHS, Max Preps/Mile Split and CAEagles.org platforms.
  4. Maintain Athletic Bulletin Board in the main building and high school hallways.
  5. Support the student-athlete as a whole and assist with academic needs throughout the season.
  6. Communicate proactively with coaching staff, athletes, parents, and the community.
  7.  Serve as a positive liaison between parents, students, and school personnel in the office as well    in the community.


Professional Development


1. Assist in training new coaches on office procedures.

2. Assist in creation and maintenance of coach/sponsor professional development.

3. Assist in revision and refining of Athletic and Activities Handbooks.

4. Attend trainings/conferences as needed.

5. Perform other duties as may be assigned.


Working Conditions


1. Work is performed while in a stationary position for extended periods of time.

2. Work is performed while moving about the office to utilize equipment, technology, etc.

3. Work is performed while positioning self to access files and supplies.

4. May require traveling in a vehicle to job assignments.

5. Work is performed while moving supplies weighing up to 20 pounds across the office.

6. Requires the ability to communicate effectively with staff, students, parents, and community members.

7. Requires the ability to detect information displayed on a computer screen and read documents.

8. Requires the ability to operate a computer keyboard and/or standard office equipment.

9. Hours may vary depending on event schedule. Flexible start times will occasionally be utilized to create evening and weekend availability.

Requirements

 

Minimum Qualifications:

  • High school diploma or GED

Special Knowledge/Skills:

  • Proficient skills in word processing, database, and spreadsheets
  • Excellent communication, organizational and interpersonal skills
  • Proficient math and grammar skills
  • Ability to maintain confidentiality

Preferred Qualifications

  • Previous athletic varsity or athletic collegiate coaching/playing experience preferred.
  • Demonstrated success in program growth and student-athlete success.
  • Strong communication, leadership, and organizational skills, with the ability to resolve conflicts effectively.
  • Have, or have the ability to obtain, certification through CHSAA.
  • Goal-setting and team-building skills to foster a positive athletic environment.

Experience:

  • 2-3 years secretarial experience, preferably in a school setting
