Job Overview
We are seeking a professional and organized Administrative Assistant/Receptionist to join our team. This role is vital in ensuring smooth office operations, providing exceptional customer service, and supporting administrative functions. The ideal candidate will have strong office experience, excellent communication skills, and proficiency with various software tools. This position offers an opportunity to work in a dynamic environment where organizational skills and attention to detail are highly valued.
Also, this position is currently 2 Days per week (Monday & Friday or Monday & Tuesday) the incumbent will also have availability to cover Sick Days, Vacation and other days that may arise, Our Office is only open Monday to Friday 830am-400pm and is not open on Weekends or Holidays.
This Role is a Unionized Position with our Office with MoveUP / COPE Local 378.
Responsibilities
- Greet visitors and clients at the front desk with professionalism and courtesy
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Perform data entry tasks accurately using Microsoft Office, Google Workspace, and other relevant software
- Maintain filing systems, both electronic and paper-based, ensuring easy retrieval of documents
- Handle scheduling, appointment setting, and calendar management for staff and clients
- Assist with bookkeeping tasks using QuickBooks or similar accounting software
- Support customer service efforts by addressing inquiries via phone or email promptly and professionally
- Proofread documents for accuracy and clarity before distribution
- Support administrative tasks such as copying, scanning, faxing, and mailing documents
- Maintain a clean and organized front desk area to promote a welcoming environment
Experience
- Prior office experience is preferred, especially in clerical or administrative roles
- Proficient with QuickBooks, Microsoft Office Suite (Word, Excel, Outlook), and Google Workspace is a Mandatory requirement.
- Clear and Fluent Command of the English Language
- Previous customer service or front desk experience is beneficial
- Strong typing skills with attention to detail for data entry and proofreading tasks
- Proven organizational skills with the ability to multitask efficiently in a fast-paced environment
- Typing Speed between Minimum of 45-50 WPM.
- Excellent telephone etiquette and communication skills are a Non-Negotiable requirement.
- Experience with multi-line phone systems and customer support roles will be advantageous
Pay: $33.55 per hour
