We are seeking a Regional Administrative Assistant, Office Operations to join our Power & Water Solutions business based in Latham, NY.

In this highly visible role, you will play an important part in keeping the office running smoothly while supporting regional administrative activities. You will bring organization, coordination, and attention to detail to a wide range of office operations, facility coordination, and administrative responsibilities that directly impact daily operations, employee experience, and customer interactions.
 

In This Role, Your Responsibilities Will Be:
  • Provide comprehensive administrative and office support, including answering and routing phone calls, monitoring voicemail, coordinating travel arrangements, supporting department activities, and assisting with a variety of day to day operational needs
  • Serve as a key point of contact for office operations, helping ensure the site runs smoothly, efficiently, and professionally while supporting a positive employee and visitor experience
  • Coordinate logistics for customer Factory Acceptance Testing (FAT) activities, including assisting with scheduling, room setup, visitor support, on site coordination, and ordering meals or refreshments for meetings
  • Maintain office readiness by managing inventory of office supplies, snacks, and common area items; proactively restocking, placing orders, and ensuring shared spaces and conference rooms are meeting ready
  • Organize, maintain, and retrieve information and records in both digital and physical formats, while handling sensitive and confidential information with professionalism and discretion
  • Oversee and coordinate facility management contractors and cleaning services, and serve as a liaison with building management for issue escalation, follow up, and ongoing communication
  • Support time reporting and labor activities, including collecting and compiling data for overtime (OT) and related reporting
  • Assist with internal events, trainings, and employee activities by supporting logistics, setup, and communication
  • Identify opportunities to improve office processes, coordination, and overall employee or customer experience
  • Perform additional administrative and operational duties as assigned to support business needs

For This Role, You Will Need:
  •   High school diploma or general equivalency degree
  • A minimum of two years of experience in an administrative or office support role
  • Proficiency in Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and Teams
  • Strong attention to detail with effective multitasking and record keeping skills
  • Excellent verbal and written communication skills
  • Demonstrated commitment to confidentiality and professionalism
  • Legal authorization to work in the United States without sponsorship now or in the future

Our compensation philosophy is simple: we pay a competitive base salary, within the local market in which we operate, and reward performance during our annual merit review process. The salary range for this role is $48,000 - 89,100 annually, plus benefits including healthcare, paid time off, 401K and profit sharing, commensurate with the skills, talent, capabilities, and experience each candidate brings to a role.​
